This privacy policy explains what personal information Here Talent collects, why we collect it, and what rights you have over it.

1. Who we are

Here Talent is a creative space for voiceover, voice and story, based in the North of England. This policy covers heretalent.com, our social media, our newsletter (MAKE-IT), our online journal, and our projects, events, workshops and masterclasses.

2. What we collect, and why

We collect personal information when you:

  • Book onto an event, workshop or masterclass - name, email, contact number, payment details, and any other information you provide us to deliver it. For masterclasses, this also includes a voice recording you send beforehand and the professional recording made in the studio - which is kept by us and by the studio.

  • Get in touch with an enquiry - your name, email, and the content of your message

  • Sign up to our newsletter, MAKE-IT - email address, and name if given

  • Contribute to our online journal - name, bio, contact details, the content of your contribution, photographs, and any audio or video recordings

  • Take part in a project - name, contact details, and any audition, casting or recording material we need to deliver it. Where a partner organisation is involved, we may share relevant details with them. We may also credit your involvement in a project publicly - this is to market our work and credit your work where due. You can ask us not to do this at any time.

  • Work with us as a freelancer or facilitator - name, contact details, and payment or invoicing information

  • Follow, message, or comment on our social media or website - whatever public information you choose to share with us

3. Photos, audio and video

We record photos, audio and video at masterclasses, events and projects for use on our website, social media and in our journal. We'll always let you know when recording is happening and, where appropriate, ask permission before publishing anything featuring you. You can ask us to remove specific content at any time.

4. Marketing and the newsletter

If you sign up to MAKE-IT or opt in to marketing, we'll email you about opportunities, events, workshops and masterclasses. You can unsubscribe at any time using the link in any email, or by contacting us directly.

If you've enquired with us before, we may get back in touch if something relevant comes up - for example, a new masterclass date or an opportunity that matches what you asked about. You can ask us to stop this at any time.

5. Freelancers, contributors and partners

If you work with us as a freelancer, facilitator, contributor, or partner organisation, we hold your contact and payment details to manage the working relationship, pay invoices, and stay in touch about future opportunities.

6. Our legal basis for using your data

  • Consent - for marketing emails and the newsletter. You can withdraw this at any time.

  • Contract - to deliver a masterclass, workshop, project, or freelance/contributor arrangement you've agreed to.

  • Legitimate interests - to respond to enquiries, follow up where relevant, and run our social media and journal.

  • Legal obligation - to keep financial records as required by law.

7. Who we share it with

  • We don't sell your data. We may share it with:

  • Payment processors, to take masterclass and workshop payments

  • Studio partners, where a booking or masterclass requires it

  • Partner organisations, where a project or workshop requires it

  • Our email newsletter platform (MailChimp & Squarespace), to send MAKE-IT and marketing emails

  • Professional advisers, such as our accountant, where needed

8. How long we keep it

We only keep personal data for as long as we need it for the purpose it was collected, or as long as the law requires. Our standard retention periods are:

  • Published content - kept indefinitely, archived in the journal, unless you ask us to remove it

  • Client and booking records (masterclasses, events, etc.) - 6 years from the end of the engagement

  • Marketing consent records - until you withdraw consent

  • Enquiry correspondence - up to 2 years, if no booking results

  • Project materials - may be kept beyond the life of a project to showcase our work or for future projects; you can ask us to remove them at any time

9. Your rights

Under UK GDPR, you have the right to:

  • Ask what data we hold about you

  • Ask us to correct or delete it

  • Ask us to stop or limit how we use it

  • Withdraw consent at any time

  • Complain to the ICO if you're unhappy with how we've handled your data

10. Cookies and our website

11. Keeping your data safe

We protect your information using password-protected systems, two-factor authentication where available, and secure cloud-based storage. No method of sending information online is completely secure, so information sent to us is done at your own risk. If we ever suspect a data breach affecting you, we'll let you know.
